Terms and Conditions

Rental Agreement

By reserving rental equipment or services from Ark-La-Tex Tents & Events (“Company,” “we,” “our,” or “us”), the customer (“Client,” “you,” or “your”) agrees to the following terms and conditions.

These terms apply to all rentals, deliveries, installations, and services provided by Ark-La-Tex Tents & Events.

Reservations & Payment

All rentals are subject to availability. Reservations are not guaranteed until confirmed by Ark-La-Tex Tents & Events.

Payment terms, deposits, and balances due will be communicated at the time of booking. Failure to make required payments may result in cancellation of the reservation.

Cancellations & Changes

Cancellations or changes to a reservation must be communicated as soon as possible. Cancellation fees may apply depending on the timing of the cancellation, the type of equipment reserved, and preparation already completed.

Changes to quantities, equipment types, or event details may affect pricing and availability and are subject to approval by Ark-La-Tex Tents & Events.

Delivery, Installation & Removal

Delivery, installation, and removal are performed by Ark-La-Tex Tents & Events unless otherwise agreed upon in writing.

The Client is responsible for providing clear and safe access to the site at the scheduled delivery and installation time. Delays caused by site inaccessibility, unsafe conditions, or inaccurate site information may result in additional charges.

Site Conditions & Utilities

The Client is responsible for ensuring the site is suitable for installation. This includes confirming adequate space, surface conditions, overhead clearance, and access.

Some tent installations require ground staking. When staking is required, utility marking may be necessary and must be completed prior to installation. Ark-La-Tex Tents & Events is not responsible for delays caused by incomplete utility marking or site readiness.

Use of Equipment

All rental equipment must be used in a safe and proper manner and only for its intended purpose. The Client assumes responsibility for the equipment once it has been delivered and installed.

The Client is responsible for preventing misuse, theft, vandalism, or damage to rented items during the rental period.

Damage, Loss & Liability

The Client is responsible for any loss, theft, or damage to rental equipment occurring during the rental period, normal wear and tear excepted.

Ark-La-Tex Tents & Events is not responsible for damage caused by weather, acts of God, misuse, negligence, or site conditions beyond our control.

Weather & Acts of God

Outdoor events are subject to weather conditions. The Client assumes all risks associated with weather, including rain, wind, heat, or other environmental factors.

Ark-La-Tex Tents & Events is not liable for delays, damages, or cancellations caused by acts of God or circumstances beyond our control.

Limitation of Liability

Ark-La-Tex Tents & Events shall not be liable for any indirect, incidental, or consequential damages, including but not limited to loss of profits, loss of use, or event disruption.

Our liability shall not exceed the total amount paid for the rental services provided.

Indemnification

The Client agrees to indemnify and hold harmless Ark-La-Tex Tents & Events, its employees, and agents from any claims, damages, or liabilities arising from the use of rented equipment or services.

Governing Law

These Terms and Conditions shall be governed by and construed in accordance with the laws of the State of Louisiana.

Acceptance of Terms

By submitting a reservation request, signing a rental agreement, or accepting delivery of rental equipment, the Client acknowledges and agrees to these Terms and Conditions.
